Imajinativ Voyage
Booking Conditions & Travel Terms. Please read carefully before booking; payment of a deposit confirms your acceptance of these terms.
1. Booking & Pricing
- Rates cover only the inclusions listed in your confirmed itinerary.
- Naming a hotel or supplier in a quote shows the basis for pricing only, nothing is confirmed until we issue written confirmation.
- If a listed service becomes unavailable, we will arrange a comparable alternative and adjust the price up or down accordingly.
- Prices may be revised before final payment if local taxes, fuel costs, park fees, VAT change.
- Until services are confirmed in writing, any quote is a proposal only; no space is held.
- We are not responsible for price movements between quotation, payment, and confirmation.
- Comprehensive travel insurance — covering personal effects, accidents, medical/emergency costs, cancellation, and curtailment — is required for every guest; we also recommend cover against deposit loss and other foreseeable expenses.
- Quoted prices reflect current government, hotel, and airline policies and may change without prior notice.
- Gratuities are at your discretion; we're glad to advise on local norms.
2. Itineraries & Sightseeing
- We may need to adjust itineraries, activities, or accommodation (including vehicles, vessels, or trains) due to circumstances beyond our control. We aim to deliver the original plan, but changes can occur even after final confirmation.
- Attractions such as parks, reserves, and museums can change their hours without notice; your guide will offer alternatives if this happens.
- We are not liable for missed connections caused by airline schedule changes, though we will re-quote you if your routing needs to change as a result.
3. Accommodation
- Standard check-in is 15:00 and check-out is 12:00 noon, local time.
- Early check-in or late check-out depends on hotel availability and can't be guaranteed.
- A guaranteed room on arrival requires booking (and paying for) an additional night — ask us for pricing.
- Room upgrades are usually available on request at individual properties, for an extra cost.
- Let us know at booking about connecting rooms, bedding, smoking preference, or dietary needs; we'll make reasonable efforts to accommodate these, though they cannot be guaranteed.
4. Air Travel
- International airfare to and from your journey's start/end points is not included in program pricing.
- Domestic flights, where required, are quoted and purchased separately unless stated otherwise.
- Air pricing can change up until we receive final payment, and flights cannot be confirmed until we hold a copy of your passport details
- Airlines are independent contractors, your ticket is a contract between you and the carrier, not with Imajinativ Voyage. We are not liable for seat assignments, schedule changes, or cancellations made by the airline.
- If you change or cancel flight arrangements, the airline's own change and cancellation fees will apply.
5. Baggage
- Porterage is not included unless stated otherwise.
- Domestic or charter flights may limit you to a single bag, with size/weight limits and possible extra fees; details appear in your pre-travel documents.
- Baggage and personal effects travel at your own risk, we assume no liability for loss or damage.
- Check with your international carrier for their own baggage rules and fees.
6. Custom Pricing
- Published prices may occasionally change due to significant, unforeseen external factors.
- Changes to a Tailor-Made itinerary date, group size, or similar, require a revised proposal.
7. Travelling with Children
- No minimum age applies unless stated, but travelers under 18 must be accompanied by an adult.
- Some hotels require children below a set age to share a room with an adult.
- A parent or guardian travelling alone with a child should carry proof of relationship (e.g. birth certificate) and permission to travel (e.g. consent letter); unrelated adults travelling with a child should carry similar proof of permission.
- Confirm documentation requirements with the relevant government authority, we cannot be held responsible for entry refusals due to non-compliance.
8. Activities, Health & Conduct
- Tell us in advance about any physical condition or disability that could affect participation in planned activities or create risk to yourself or others; some journeys may require a doctor's certificate.
- We will make reasonable efforts to accommodate special needs but may decline participation where we cannot do so safely.
- By booking, you confirm that neither you nor your travelling companions have a condition that could endanger yourself or others on the trip.
- We may remove a guest from the trip, at their own expense, if their conduct or condition disrupts the group's safety or enjoyment.
- Adventure activities, including diving, trekking, wildlife encounters, water sports, and similar, carry inherent risks of illness, injury, or death, heightened by remote locations far from medical care. By joining these activities, you accept these risks and release Imajinativ Voyage and its affiliates from related liability, including claims arising from negligence, and agree to cover claims brought against us arising from your participation.
9. Passports & Visas
- You are responsible for holding valid travel documents; confirm requirements with the relevant government authority.
- Boarding may be refused, without refund or compensation, if your documents are not in order, and you are responsible for any resulting fines or costs. We are not liable for entry refusals due to non-compliance.
- Indonesian citizens need a passport valid for at least six months beyond their return date, with sufficient blank visa pages, for all international travel.
- We strongly recommend that international visitors’ passports remain valid for at least six months beyond their intended departure from Indonesia, with at least one blank visa page.
- Visa on Arrival (VOA): most nationalities may obtain a 30-day VOA on arrival (USD 35), or pre-purchase an e-VOA (IDR 500,000 + service fee) via the official portal: evisa.imigrasi.go.id. Requirements: a return/onward ticket and proof of funds (min. USD 1,000 or a valid credit card); eligible for 97 nationalities. One 30-day extension is possible via the Immigration Office; overstaying incurs fines.
- All international arrivals must complete the digital arrival card up to 3 days before entering Indonesia, via: allindonesia.imigrasi.go.id.
- A yellow fever certificate is required if arriving from, or transiting through, an at-risk country.
9A. Local Fees & Levies
- Bali Tourism Levy: since 14 February 2024, all international visitors to Bali pay a one-time entry fee of IDR 150,000 (approx. USD 10) per person, per visit — adults and children alike, not included in program pricing. Pay in advance via the official portal: lovebali.baliprov.go.id.
- National Park & Conservation Fees: entrance and conservation permit for parks and protected areas in Eastern Indonesia typically range from IDR 300,000 to 600,000+ (approx. USD 20–40) per person, per day, depending on the specific park, season, and activities involved. These fees are paid locally and are not included in quoted program pricing unless explicitly stated in your itinerary.
10. Payment Schedule
- Payment to Imajinativ Voyage confirms your acceptance of these terms and any related pre-travel documentation, including the guest information form.
- We accept bank transfer only.
- A deposit is due at booking: USD 500 per person for Signature journeys, or up to 50% of the price for Tailor-Made trips. Final payment is due 60 days before departure; bookings made within 120 days require full payment upfront. Larger deposits may apply for charters, exclusive-use venues, groups of 10 or more, peak-season travel, or destinations requiring non-refundable permits.
11. Cancellations, Changes & Force Majeure
- Cancellations must be submitted in writing and take effect on the date received.
- Cancellation fees vary by supplier and reflect actual costs incurred by Imajinativ Voyage (such as hotel or supplier charges) rather than a penalty.
- Changes you request, or that arise from circumstances beyond your control, are your responsibility, including any related flight costs.
- Internal airfare is non-refundable once final payment is made (limited exceptions may apply).
- Extra hotel nights or add-on services carry their own cancellation terms, provided at booking and shown on your invoice.
- Force Majeure — if war, civil unrest, terrorism, strikes, natural disasters, pandemics, or similar events beyond our control force a cancellation or major change, we will offer a comparable alternative where possible, or otherwise a travel credit equal to the trip value less any costs we cannot recover from suppliers. We are not responsible for related costs such as airfare, insurance, or visas.
- We do not accept liability for claims, or provide refunds, beyond what is expressly set out here.
12. Photography & Media
- Our on-site partners may photograph or film guests during a trip and use those images, including name, likeness, and voice, for promotional purposes during and after the journey.
- Booking with us means agreeing to this use unless you opt out.
- To opt out: tell your Travel Assistant at the start of your trip, and notify your Travel Designer in writing within 30 days of the journey's end. Without both steps, permission to use your image (and that of any accompanying minor) is considered granted.
13. Our Liability
- Aside from a limited number of vehicles, Imajinativ Voyage does not own or operate the hotels, airlines, restaurants, or other suppliers used on your trip; these are independent contractors, and we are not liable for their acts or omissions.
- We are not responsible for injury, loss, delay, or damage arising from force majeure, illness, war, civil unrest, strikes, criminal or terrorist acts, service downgrades, or mechanical failure.
- Adventure travel carries genuine risks, including illness, injury, or death, heightened by remote locations far from medical care; joining these trips means accepting those risks.
- You release Imajinativ Voyage and its affiliates from claims relating to property damage, illness, injury, or death arising from your participation in activities (including transport to and from them), even where negligence or equipment defects are involved, and agree to cover related third-party claims. We retain the right to select legal counsel for any such claim.
14. Travel Advisories
- Stay informed of current government travel advisories for your destinations.
- Choosing to travel despite an active warning means accepting the associated risks to your safety and property.
15. Dispute Resolution
- Disputes relating to these terms, our materials, or any Imajinativ Voyage trip are first referred to binding arbitration before a single arbitrator in Tangerang, Banten; parties may appear remotely.
- Each side covers its own costs and shares arbitrator/administrative fees equally, though the prevailing party may recover its costs.
- Claims are handled individually — class or representative actions are not permitted.
16. Updates to These Terms
- We may correct errors or update these terms, particularly to reflect changes in law. Updates take effect once posted at imajinativ.com/voyage — please check the site before you travel.
